Brandeis University seeks a highly organized, proactive, and discreet Senior Executive Administrator to the President to play a pivotal role in ensuring the seamless operation of the Office of the President. Reporting directly to the Director, President’s Office, Operations, and Administration, with a dotted-line report to the President, this position serves as the primary liaison for all internal and external stakeholders engaging with the President.
This is a high-visibility, high-impact role requiring exceptional judgment, communication, and organizational skills. The Senior Executive Administrator must be adept at managing competing priorities in a fast-paced environment while maintaining a high level of professionalism and confidentiality.
This position requires working on campus in Waltham.
Key Responsibilities
Executive Support & Calendar Management
- Serve as the gatekeeper and gateway for the President, managing access to their time while balancing institutional priorities.
- Oversee the President’s complex and dynamic calendar, ensuring strategic scheduling and seamless coordination.
- Greet visitors, answer calls, and manage the daily administrative flow of the President’s Office.
Travel & Event Coordination
- Plan and execute detailed travel itineraries, including logistical arrangements, briefings, and necessary documentation.
- Work closely with Institutional Advancement, Communications, and other stakeholders to ensure well-organized, impactful engagements.
- Support high-profile university events, donor engagements, and Commencement preparations.
Relationship & Communication Management
- Develop and maintain the President’s contact network, ensuring key relationships are nurtured and prioritized.
- Assist in managing the President’s email inbox, correspondence, and outreach efforts.
- Collaborate with the Assistant Secretary to the Board of Trustees on governance-related matters.
Administrative & Organizational Oversight
- Maintain the President’s filing systems (electronic and paper-based) for seamless information access.
- Process expense reports, budget documentation, and compliance reporting.
- Ensure a discreet and confidential handling of all sensitive matters.

You are a highly skilled executive administrator with a keen ability to anticipate needs, think strategically, and manage complex workflows. You thrive in a fast-moving environment, remain poised under pressure, and have a deep commitment to excellence and service.
Qualifications
- Bachelor’s degree (Business, Communications, or related field preferred)
- 5-8 years of experience in high-level executive support, preferably in a university, nonprofit, or mission-driven organization
- Mastery of Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Exceptional written and verbal communication skills (multilingual skills are a plus!)
- Strong project management, time management, and organizational skills
- A proactive, forward-thinking mindset with the ability to problem-solve and prioritize effectively
- Unwavering commitment to confidentiality, discretion, and professionalism
