Brandeis University is delighted to announce a career opportunity as a part-time Department Coordinator in ENACT (The Abraham Feinberg Educational Network for Active Civic Transformation). The Department Coordinator performs a variety of administrative and clerical tasks to support the day-to-day operations of ENACT. This role includes maintaining office management systems, managing events, and handling communications related to ENACT’s initiatives.
This is a part-time position (17.5 hours/week) and is eligible for benefits
Key Responsibilities:
Maintain office management systems and ensure smooth daily operations.
Process payments and handle expense reports.
Utilize tools such as Excel, PowerPoint, MS Office, Workday, Google Forms and other applications to generate reports and ensure accurate information is shared with the team and Director.
Manage and update the website and newsletter content, ensuring that all information is accurate and current, using the Brandeis Content Management System (CMS) and an email marketing program
Update and maintain the mailing list for the e-newsletter and manage the sending of newsletters.
Provide administrative support for awards, grants, and other projects.
Coordinate and schedule meetings and events, managing all related logistics like food, travel arrangements, and space reservations.
Assist with travel arrangements and honorariums for faculty and guest speakers related to ENACT’s events.
Handle payments and reimbursements, and process honorariums and make payments to vendors.
Oversee student hiring processes for various ENACT positions.
Handle scheduling and logistics for monthly staff meetings.
Skills and Qualifications:
Bachelor’s degree (preferred).
1-3 years of related work experience.
Strong proficiency in MS Office Suite (Word, Excel, PowerPoint), Workday, and other common office applications.
Exceptional organizational and communication skills.
Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
